How do I know my Transflo ELD device is installed properly and communicating (ignition, GPS, connection)?

The Transflo ELD device has 3 LEDs that indicates the health of the device and connectivity:

  • Red: The device has detected ignition and the vehicle has power
  • Green: The device is connected to the cellular network and can communicate with the Geotab servers
  • Blue: The device has latched onto the GPS satellites
Why is my Transflo ELD device beeping?

Below are the few common reasons why the device may beep:

  • The device will enter diagnostic mode upon installation — the beeping at this point reveals information regarding the status of the device. The device will exit diagnostic mode and will stop beeping after a couple of trips
  • An audible alert exception rule may have been set up in the Transflo Telematics portal
  • The device may have driver feedback options enabled
  • The device is unable to connect to a cellular network and produces 4 beeps to notify the user
What phones are supported with Transflo Mobile+?

Most Apple iOS and Android phones are supported. All phones must have an 8 megapixel camera or better, with flash and auto-focus. Android phones have to be on Android 2.2 or higher, Apple iOS phones have to be on iOS 6.0 or later.

Can I use the Transflo Telematics software on my iPad, Android or Windows tablet?

The Transflo Telematics application was designed to run in your device’s web browser. This means that the software will be accessible to you at my.transfloeld.com regardless of your location, computer, or mobile device. Please note that the device that you are using requires an active internet connection.

I have run into issues during registration. Who can help me with this?

Do I need to have my phone or tablet mounted when using it for ELD?

Yes, your phone or tablet must be mounted in a fixed position during commercial motor vehicle operation, and must be visible to the driver from a normal seated driving position. This information can be found in the ELD Rule section 395.22(g).

Defects

If you have more than one defect you to log in your DVIR, how do you do this?

You can select as many defects as you need to when performing your vehicle and trailer inspection. There is no limit of the number of defects you can select on your DVIR.

Technical Issues

What do I do if my Transflo ELD device is not communicating?

The first step is to try unplugging the device from the vehicle, and then plugging it back in to see if this will help re-establish communication. If the device still does not communicate, then please contact our ELD Support for further assistance. Common reasons why the device may not be communicating are:

  • The device may be in an area without cellular coverage
  • The device may be unplugged from the vehicle or has lost power from the harness
  • The device may be reporting, but it may have a GPS issue where it cannot latch onto the GPS satellites
Why do I not see the countdown of the available hours in my app?

This happens when no ruleset is configured for your driver profile. Please contact your fleet to have an Administrator make this adjustment.

Why is my Transflo ELD device beeping?

Below are the few common reasons why the device may beep:

  • The device will enter diagnostic mode upon installation — the beeping at this point reveals information regarding the status of the device. The device will exit diagnostic mode and will stop beeping after a couple of trips
  • An audible alert exception rule may have been set up in the Transflo Telematics portal

Why am I not seeing any engine data?

If you signed up for the HOS plan, you will not have access to engine data. Please contact your Sales Representative if you wish to upgrade your account.

Why does my driver not see the countdown of the available hours in his app?

This happens when no ruleset is configured for the driver. You can select the ruleset in the driver’s User profile on the HOS Settings tab in the Transflo Telematics portal, then click the Save button at the top.

Logs

How do I edit logs?

You can edit a log by selecting it on the Logs tab, then tapping the pencil icon next to the item you would like to edit. You’ll be prompted to add an annotation before you can save your edit. Please note that you cannot edit driving time. Additionally, automatic on duty logs that follow automatic driving logs cannot be edited away; instead, the automatic on duty log will be reduced to a one second duration, and a new log with the desired status will be added.

Can automatic logs for drive time and on duty logs be edited or deleted?

No. Per the ELD mandate, all driving time must be accounted for. However, logs can be assigned to an unidentified driver with an annotation in the case of shop moves. Automatic ON logs can never be edited away completely, but will be shortened to 1 second, followed by a new log with the new status. Re-assigning logs to the unidentified driver can only be done by Safety staff. 

Why are my drivers receiving duplicate ON logs?

The app automatically switches to ON when the vehicle stops moving for 5 minutes. If the driver manually changes to ON within these five minutes, an additional automatic ON log is created to fill the time between the vehicle stopping, and the driver manually going to ON.

Why are my drivers receiving duplicate D logs?

The app automatically switches to D when the vehicle hits a speed of 5 mph. If the driver manually changes to D before then, a duplicate log is created.

What happens if a driver never verifies their logs?

If logs are not verified within 14 days, the carrier will have to print the logs and obtain a physical signature from the driver. They will not be compliant until the driver verifies their logs.

Can I assign logs to a dummy driver, for instance when a mechanic driver the vehicle instead of the driver?

A dummy account to which all non-driver driving time gets assigned is not permitted per the FMCSA. Mechanics will either need to have their own login, which they should use each time they move a vehicle, or if nobody was logged into the vehicle, the log will end up under the Unidentified Driver, in which case it can be annotated indicating that it was the mechanic driving the vehicle. If a mechanic driving the vehicle resulted in a driving log assigned to the driver, then this driving log can be re-assigned to the Unidentified Driver, with an annotation indicating that it was the mechanic driving the vehicle.

When I click on the Dashboard graph in Transflo Telematics, the Excel report that pops up has different values than what the graph shows, why is this?

The reason you see the different values is that the Dashboard graph refreshes as per its defined schedule, which is set up under the Dashboard options, while the data in the Excel report is refreshed as soon as you click on the graph. If you feel that you need the dashboard to have more real time values, then you can go into the Enable Dashboard options and change the refresh schedule.

How do I edit a driver’s log?

To edit a log, start by going to Activity > HOS… > Duty Status Logs, then selecting the date range for the logs and the driver, then click ‘Apply changes’. Once the log is showing, click the duty status you need to change; this will take you to the log details, where you can make the necessary edits. When finished, click the ‘Save’ button at the top of the page. This requested log change will be sent to the driver, as the driver will need to accept the edit before it becomes part of his logs. Until the driver accepts the edit, you will see the original status highlighted in yellow, to indicate that the acceptance by the driver is pending. Once the driver accepts the edit, the new status will show in the driver’s logs.

Once the log has been verified can it be edited?

Yes, both the driver and administrators can edit a verified log. However, after the administrator edits the log, the driver will see it in yellow in the app and will need to accept and re-verify the log to accept the edit.

Can you erase ELD information?

You cannot erase information or remove/delete log entries. Once it is in the system it will have to stay there. You can edit logs as long as they are not automatic drive entries. Automatic on duty logs cannot completely edited away; instead, the automatic on duty log will be reduced to a one second duration, and a new log with the desired status will be added. This is in accordance with FMCSA regulations.

How can I get an Edit History/Log Report?

From within the driver’s app there is no way to get an edit history. However, an administrator can pull a history from the Transflo Telematics portal.

How does Personal Use/Conveyance show on the logs for DOT?

It shows in two areas – one is in the graph, where it will show on the off duty line but it will be striped instead of solid. The other is in the individual log entry where it will be listed as PC (Personal Conveyance).

Can Yard Move in the log be edited?

Yard Move and Personal Conveyance are exemptions. Once an exemption is invoked, you cannot remove or edit it. If you start an exemption, it will always be there; it cannot be edited or removed, it can only be annotated. This is per FMCSA regulations.

Can an administrator change the status of a driver to be in Yard Move or Personal Conveyance?

It cannot be changed by driver or administrator, it can only be annotated, per FMCSA regulations.

How are violations calculated?

Violations are calculated per the HOS ruleset that is set on the driver’s user profile in the Transflo Telematics portal.

Can you move the truck during a reset?

You can only move the truck while in Personal Conveyance; this will not interrupt a break or restart. Moving the truck while not using Personal Conveyance will interrupt a break or restart. Moving the truck while in Yard Move will place you On Duty, which will also interrupt a break or restart.

(Exemptions) Yard Move/Personal Conveyance

How do I select Yard Move or Personal Conveyance?

In order to indicate driving time as a Yard Move or Personal Conveyance, go to the Status tab, select ‘View Exemptions’, then tap Start next to Yard Move or Personal Conveyance before you start driving. When you’re done with the Yard Move or Personal Conveyance, go back to the exemptions, and tap Stop.

Can Yard Moves and Personal Conveyance be applied retroactively?

No, per the FMCSA this is not allowed. The log should be annotated for compliance instead, stating that the log in question should have been a Yard Move or Personal Conveyance.

Under Personal Conveyance, should you remove the trailer?

You do not need to remove a trailer in the HOS app when using PC (Personal Conveyance).

Roadside Inspections and ELD Data Transfer

What ELD data transfer method does Transflo ELD support?

Both e-mail and web services are supported. Using web services is recommend during a roadside inspection, as this is a faster transfer method, allowing the officer to see the log information in the FMCSA’s eRODS system sooner. 

Would a driver be non-compliant with the ELD rule if the data cannot be sent electronically to an authorized safety official at roadside?

No. If the electronic means for transferring data is unavailable or fails, the driver can still be compliant by showing either a printout or the actual ELD display of their RODS.

However, keep in mind this does not apply if the HOS data transfer fails due to missing required data (i.e. driver’s license info, DOT number, VIN) – it is the carrier’s responsibility to ensure all that data is present in the system.

9. Is it allowed to have the ELD manual, data transfer instructions, and malfunction instruction sheet in electronic form?

Yes, the FMCSA has stated in the ELD FAQ that these documents can be in electronic form, which is in accordance with the federal register titled “Regulatory Guidance Concerning Electronic Signatures and Documents” (76 FR 411).

Cell Service

What happens when the vehicle goes outside of cell service?

When not in cell service coverage, all data captured by the Transflo ELD device (engine data, GPS data, and accelerometer data) is stored on the Transflo ELD device, so there will not be any loss of data. Once the vehicle returns to coverage, this data is automatically transmitted to the cloud servers, and gets synced with the Transflo ELD app.

Trailers And Vehicles

How are truck rentals handled?

Paper logs can be used for 8 days, and a copy of the rental agreement needs to be kept in the truck. If the vehicle is in use for longer than 8 days, an ELD is required. Extending the rental, or exchanging for a different rental truck for another 8 days is not allowed.

If a driver picks up a trailer not already in the database, can they add it themselves?

Yes. During the login process, or at any time in the Assets section of the app, drivers have the option to attach a trailer. When selected, they can choose an existing trailer, or add a trailer not already in the system. Fleets can disable the option for a driver to be able to add a new trailer, if so desired.

How often are my vehicles updated?

The Transflo Telematics map refreshes every 15 seconds in the browser. The Transflo ELD device itself will send updates at varying intervals depending on driver behavior or vehicle health. At a minimum, the Transflo ELD device updates its location at least once every 100 seconds while driving. The more the direction or speed changes, the more frequently the location will update.

Training

Do you offer driver training?

We offer a driver training webinar that is included in the Welcome Email sent to your administrator. It is a YouTube video link that can be kept with you at all times to refer back to.

Time Zones

How can I change my time zone?

An administrator can change the time zone in the Transflo Telematics portal. If there are concerns about cross country driving through different time zones, the app will automatically change this as the driver crosses into each time zone.

HOS Statuses

When is Sleeper Berth Used vs. when should I log out?

You should use Sleeper Berth if you are physically going to utilize your sleeper berth. If you are ending your day, then you should log out in OFF DUTY status.

Can Personal Conveyance and Off Duty be combined?

As long as you are in statuses that count as OFF DUTY, it is acceptable to use any combination of Off, Sleeper Berth or Personal Conveyance, as these statuses are fine for doing your 30 minute break, your 10 hour break, or your 34 hour restart. You’ll want to avoid using ON, Driving, and/or YARD MOVE, as these will interrupt your break or restart.

Can you move the truck during a break or restart?

You can only move the truck while in Personal Conveyance; this will not interrupt the restart or your break. Moving the truck while not using Personal Conveyance will interrupt your break or restart. Moving the truck while in Yard Move will place you On Duty, which will also interrupt your break or restart.

What is the difference between the Transflo Mobile Plus and the HOS app?

The main difference is how you are signed up with Transflo. The Transflo Mobile Plus app is designed to accommodate our other services we offer such as document scanning, loads and messaging, etc. Typically, if you sign a contract through one of our Sales representatives you will use Transflo Mobile Plus. If you are an owner/operator who has picked up the ELD at a truck stop and are paying for a monthly subscription with a credit card you will typically use the Transflo HOS app, with which you register and begin your subscription directly through the application.
